Recap: September Lunch and Learn—Agent Intake, Editing Submissions, and a DecSight Refresher

This month's Lunch and Learn focused on giving agents more control over their submissions. Megan from our Customer Success team spent the session walking through Agent Intake, Editing Submissions, and a refresher on DecSight, plus a few new features in our AgencyZoom integration.

Agent Intake: Enter Prospect Information Yourself

Agent Intake lets you put data into Canopy Connect directly instead of relying only on the prospect to fill out their link. There are two ways to do it: type in the information manually, or upload a dec page they've already sent you. Either way, the submission still follows your normal flow, so any additional questions you've built in still get asked, and the data still pushes to your integrations the same way a prospect's own submission would. Agent Intake is available on the Elevate, Peak, and Summit plans. The team is also working on adding coverage level detail, so you'll be able to enter or adjust limits, deductibles, and premiums as well.

Manual entry. From the Submissions tab, click New Submission, choose your link, and select the manual option. From there you can enter contact details, a property address, vehicles (by VIN, or by year, make, and model), and drivers, including their relationship to the insured. Any custom questions on your flow, like roof age, dogs, pools, or trampolines, can be answered here too. Once submitted, the entry shows up in your submissions list looking just like a prospect's own form submission, complete with property data such as year built and square footage, and it's ready to push to whichever integration you use.

Document upload. Same starting point, New Submission, but this time you choose to upload a document instead. Drop in the dec pages you already have, and Canopy Connect parses out the policy details automatically: vehicle information, coverages, mileage, use case, property address, and more. Property data can still be fetched the same way, and the original documents stay attached to the submission for reference.

Agent Intake is especially useful in two situations: a prospect who sent you their dec page before you even introduced them to Canopy Connect, and a prospect who would rather hand you their information over the phone than complete a link themselves. One thing that came up in questions: merging multiple submissions for the same prospect isn't available yet. It's on the team's radar, but there's no timeline to share right now.

Editing Submissions: Keep Every Record Accurate

Editing Submissions lets you add, remove, or correct drivers, vehicles, and properties from a single screen, no matter how the submission originally came in. That means it works the same whether a prospect logged in directly with their carrier, uploaded a dec page, filled out a form, or you entered it yourself through Agent Intake. This one is also available on the Elevate, Peak, and Summit plans.

To use it, open any submission and click Edit in the top right. From there you can fill in anything that came through missing, like an email or phone number, add details that weren't captured automatically, and make changes as a prospect's situation changes: removing a vehicle they've sold, taking a driver off once they've moved to their own policy, or answering a question that was left blank the first time around. Once you save, the updated information is what gets pushed to your integrations, so what lands in EZLynx, PL Rating, or wherever else you're sending it reflects the most current, accurate picture.

DecSight: A Quick Refresher

DecSight is the tool behind the scenes that reads insurance documents, dec pages, endorsements, and coverage summaries alike, whether they come in as PDFs or photos, and pulls out the key information into a clean, consistent layout inside Canopy Connect. Since carriers don't all format their documents the same way, DecSight is built to find what matters regardless of layout, even when a photo is a little blurry or a table is dense with information.

DecSight is especially handy when a prospect doesn't have a login for their carrier's site, or would rather not share those credentials with you at all. On the prospect side, this shows up as an Upload Files option instead of Connect Your Insurance, with the ability to take a photo directly or upload existing files. Worth noting: connecting directly with the carrier still pulls in more than a document upload can, things like driving records and claims history aren't available from a dec page alone, so it's still the recommended path when a prospect is comfortable with it. DecSight is there as a strong option when they're not.

A Few AgencyZoom Updates Worth Knowing

Based on feedback from agents using the integration, a handful of AgencyZoom improvements have rolled out recently:

Leads that already exist in AgencyZoom now get merged with new information instead of duplicating or getting overwritten. Commercial submissions now carry over business name, FEIN, entity type, and NAICS code, so a commercial lead lands as a full record rather than a shell. Documents can now attach to the lead automatically, so there's no need to save them in Canopy Connect first and upload them separately. And pipeline stage is now configurable per link, so if you want a particular link to drop leads into your second or third pipeline stage instead of the first, that's a setting you can control.

To adjust any of this, go to the Integrations tab, click View Integration for AgencyZoom, and check the boxes for the behaviors you want, such as automatically updating leads or uploading documents. The pipeline stage field works the same way: leave it blank to default to your first stage, or enter a stage to have leads start further along. By default, changes here apply across all your links, but you can switch to editing just one by changing from all links to a single link before saving.

FAQ: Questions From the Session

If I keep pushing data to EZLynx, does it create a new prospect every time, or update the existing one? It depends on your integration settings. Go to Integrations, click View Integration for EZLynx, and make sure Update Applicant by Email and Update Applicant by Phone are both checked, then save. With those on, Canopy Connect updates the existing applicant instead of creating a new entry each time.

Is Elevate considered a standard plan? Yes. Elevate is a standard plan option, not a custom or enterprise plan.

Can multiple submissions from the same prospect be merged into one? Not yet. It's a request the team has heard and is looking into, but there's no timeline to share at this point.
